Eleven Degrees Consulting Ltd, on behalf of an internal client, Komorock Automobiles and Fabricators Ltd, wishes to fill the vacant position of a Workshop Manager on Fixed Term Contract Basis to be based in Nairobi to serve the Nairobi Region and its environments.

Position Summary
Reporting to the Head of Workshops, the Workshop Manager is responsible for overseeing all areas of workshop/ garage operations, including automotive services, machinery works, fabrication, civil works, and generator maintenance. The role involves leading a team to deliver high-quality repairs, fostering a culture of “right-first-time” workmanship, and driving improvements to enhance customer satisfaction and operational efficiency. The Workshop Manager will ensure compliance with company policies, standards, and industry regulations while optimizing resources to meet customer expectations.
Key Duties/ Responsibilities
1. Staffing, Work Allocation, and Supervision

- Establish optimal staffing levels while actively get involved in the recruitment processes in liaison with the HR department, including interviews and staff onboarding.

- Manage job card allocation, scheduling, and labor distribution to ensure smooth workflow and efficient operations.

- Set specific timelines for mechanical jobs and accurately assess vehicle and machine downtime due to repairs.

- Provide performance feedback to staff, addressing underperformance and escalating complaints or grievances to HR as needed.

- Ensure the effective use of company IT applications (e.g., FIIX, ZEN Desk etc) in collaboration with IT and HR departments.

- Plan and oversee staff leave schedules to maintain operational efficiency.

- Actively get involved in organizational culture change efforts in close liaison with the HR department.
2. Workshop Management

- Develop and implement Standard Operating Procedures (SOPs) and review workshop processes regularly.
- Define staff roles, responsibilities, and Key Performance Indicators (KPIs).
- Oversee the maintenance and servicing of heavy equipment, machinery, vehicles, and generators to meet required standards.
- Coordinate operational and human resources to manage workshop projects effectively.
- Ensure availability and maintenance of tools, equipment, and materials for job assignments.
- Monitor dismantled parts for wear, diagnose issues, and guide staff and subcontractors on quality workmanship.
- Ensure timely renewal of operational licenses and permits.
- Approve key documents such as GRNs, STNs, vouchers, delivery notes, gate passes, and LPOs.
- Safeguard all company documents and assets under workshop management.
3. Customer and Stakeholder Management

- Collaborate with the Head of the Workshop to provide timely updates to clients on job progress.
- Address customer complaints, propose solutions, and ensure issues are resolved satisfactorily.
- Gather and review customer feedback, implementing improvements where necessary.
- Coordinate vehicle accident repairs in liaison with the Insurance department.
- Oversee the custody and management of workshop assets, including furniture, tools, computers, and vehicles, as well as client-reliever equipment.
4. Inventory and Asset Management

- Ensure accountability for all workshop assets, including tools, spares, materials, and equipment.
- Conduct periodic audits to minimize loss or misappropriation of resources.
- Monitor inventory levels to ensure availability of materials while avoiding excess stock.
5. Operational Health, Safety, and Environmental Compliance

- Ensure adherence to company Health, Safety, and Environmental policies and procedures.
- Enforce compliance with occupational health and safety standards, environmental laws, and relevant local regulations.
- Liaise with the Insurance department to manage staff injury cases, ensuring appropriate documentation and follow-up.
6. Reporting and Documentation

- Provide regular updates on job progress, promptly communicating delays or issues to clients and management.
- Prepare accurate manpower utilization and preventive maintenance reports, including recommendations for improvement.
- Maintain a documented and approved workshop risk assessment report.
- Submit weekly administrative and revenue reports, ensuring transparency in cash flow and billing.
- Prepare comprehensive handover notes for smooth transition during absences, acknowledged by the covering staff.
Academic and Professional Qualifications and experience required

- Degree in Mechanical Engineering or related field;

- Higher National Diploma/Degree in Mechanical Engineering, Automotive Engineering, or a related field desirable.

- 5+ years’ experience managing a large & busy manufacturing and automotive workshop at a managerial level;

- Knowledge of Automotive systems (vehicle layout, function, and location of parts);

- Knowledge of mechanical issues, warranties, service, and general repairs;

- Proficiency in mechanical diagnostics and repair processes.

- Knowledge of workshop management software and IT applications (e.g., FIIX, ZEN Desk)

- Strong understanding of inventory management and preventive maintenance practices Proficiency in Microsoft Office suit.

- Good understanding of Workplace safety, fire-Marshall & first aid, site safety.
